What's Changing

Workday replaces Banner (Finance and Human Resources) and other systems including Totara, Quest, Rival Onboarding, CLIQ Employee Management, CLIQ PoDs, and TimeClock Plus. It centralizes key HR and finance functions, reduces paper processes, and provides real-time access to the information you need.

Finance and Expenses
  • Worktags Replace FOAPALs: Finance accounts will be identified with clear, natural-language tags instead of numeric codes.
  • P-Card Receipts: P-Card owners will be submitting their receipts through expense reports.  Your credit card transactions will show up directly in Workday.   No more logging in to Wells Fargo to code transactions.
  • Travel Expenses: Enter travel expenses directly in Workday (no more spreadsheets).  While traveling, you can snap photos of receipts with your phone and add them to an expense report at the end of your trip.
  • Invoices and Payments: Invoices and payment vouchers will be entered as Supplier Invoice Requests in Workday, automatically routing to the correct approvers.
  • Cash Advances: If you need a travel cash advance, you’ll request it directly through Workday instead of visiting the Cashier’s Office.
  • Payment Elections: Workday lets you manage direct deposit and payment preferences online. You can choose accounts for payroll or reimbursements, split payments, and update banking details anytime.  No paper forms needed.

Human Capital Management
  • Hiring: Faculty, staff, and student hiring will all happen in Workday - from application to onboarding.
  • Self-Service: Update personal details, view pay and benefits, and see employment information in one place.
  • Performance Reviews: Performance evaluations will take place directly in Workday. You’ll be able to complete your self-assessment, view your manager’s feedback, and track the status of your review.
  • Org Chart: View departments, reporting lines, and colleagues through a real-time org chart.
  • Learning: Professional learning and required trainings will move into Workday for employees. Totara will be retired as part of this transition.

Time and Time Off
  • Student Workers will clock in and out daily using their phones (no more weekly time entry). Student workers cannot edit their time, so managers will make any necessary corrections.
  • Missed Time (Hourly Staff):   If you forget to enter hours, add them for the correct past date. Once approved by your supervisor, the time will be paid on your next paycheck through Workday’s retroactive pay feature.
  • Time Off (absence): Request time off in advance and view leave balances in real time. Supervisors and employees can see their team's approved time offs.

Workday on Desktop and Mobile

Workday can be used on both desktop and mobile devices. You’ll be able to sign in securely from anywhere to:

  • View pay slips
  • Update personal information
  • Approve time or requests
  • Create expense reports
  • Complete many other common tasks
