Thank you for your interest in creating an event for the Dickinson community! Please note that only current community members (students, faculty and staff) are eligible to create events here.

Please review the information below before you proceed.

Note: The Office of Marketing & Communications may edit your event submission to ensure it is clear and relevant for external audiences as it appears on the web calendar.

EngageD

Students and student groups must submit their events through EngageD.

  • Faculty and staff creating events requiring setup or catering/alcohol should submit their events through EngageD.
  • Event submissions serve as a request to CASE for the space and setup. It does not guarantee reservation of the space. The request will be reviewed, and approval or denial will be posted through EngageD.
  • To ensure your event appears on the external web calendar, Event Visibility must be set to “the public.”
  • EngageD allows all users to search for events by date and sort by category. A corresponding app, CORQ, is also available.

CASE Virtual EMS

Faculty and staff creating meetings or events with simple room reservations and no additional setup or catering/alcohol should create their event through the CASE Virtual EMS system. This will enable you to create the event and reserve the room in one step.

  • To create an event, sign in in the top right corner, then select “Book a Room.” Additional information and tutorials are available.
  • To ensure your event appears on the external web calendar, select “yes” when prompted. Note that internal meetings do not need to appear on the web calendar.
  • Note: Classes or class changes may not be entered directly into EMS.
  • CASE may edit your event submission, setup or location before approving.

Members of the advancement, president’s office or admissions teams submitting off-campus or special events (e.g., prospective student visit days) should complete this form.

Before You Submit (Applies to Events & Announcements)

Submission Best Practices 

To help your event or announcement be approved/published quickly, and to ensure it is clear and useful for the entire Dickinson community:


DO:

  • Review your submission for accuracy before submitting. 
  • Include a clear and specific title and detailed description 
  • Provide a link or email address for more information 
  • Use standard capitalization. Do not use ALL CAPS for emphasis. 
  • Limit the use of exclamation points. 

DO NOT:

  • Wait until the last minute to submit 
  • Use excessive formatting, emojis or ALL CAPS 
  • Submit a duplicate event (check the calendar first!) 
  • Paste in text that introduces hidden formatting issues 
  • Exclude relevant information

Event FAQs

I just submitted an event. Why isn’t it appearing on the web calendar?

Events must be reviewed before publication. If you recently submitted your event, allow time for review and check back. If your event still does not appear, contact the manager for the specific platform (EngageD, CASE or Jadu/web). 

If submitted via EngageD:

  • Did you set the Event Visibility to “the public”?
  • Your event may be awaiting approval from CASE.
  • Once approved, your event will be part of a daily queue of new events submitted to the Office of Marketing & Communications. It will be reviewed and published within 24 hours.

 If submitted via CASE Virtual EMS:

  • Did you check “yes” for your event to appear in the calendar?
  • Virtual EMS submissions are loaded nightly into the web content management system. They will be reviewed and published by the Office of Marketing & Communications within 24 hours.
How can I make a change to an event I’ve already submitted?

While you can make edits to your event within EngageD, you must contact the Office of Marketing & Communications separately for those changes to be reflected in the web calendar. Please email communications_staff@dickinson.edu, or call X1289.

For Virtual EMS changes, any edits you make to your reservation will automatically appear in the web calendar the following day.

Can multiple departments submit the same event?

No. Co-hosting departments should coordinate and submit a single event listing whenever possible. 

What if I don't have all the event details yet?

You may submit a placeholder event, but you'll be responsible for providing updated information once details are finalized. Do not simply submit a new event.

What if I need to cancel my event?

You must cancel/delete the event in the system (EngageD or CASE Virtual EMS). For EngageD events, please contact the Office of Marketing & Communications to have your event deleted from the web calendar. Virtual EMS events will automatically be deleted overnight.

I’m a member of the Carlisle community and have an event I want to post on the college's web calendar. How do I do that?

The tools mentioned above and the college's web calendar are only for the use of the internal Dickinson community (current students, faculty and staff). Community members should share local events with the Downtown Carlisle Association, Cumberland County Visitors Bureau or other relevant local sites.

Event Submission Tips 

Create clear, descriptive event titles 

Public calendar entries should provide enough detail for community members to understand the purpose of the event. Event titles and descriptions should clearly explain what the event is and identify the sponsoring department, office or organization. 

Good example: Student Senate Leadership Meeting 

Avoid: Meeting 

Distinguish recurring or duplicate titles 

If multiple sessions of the same event occur on the same day, or multiple times throughout the semester, modify the title so each entry is unique. 

Examples: 

  • Workshop I / Workshop II 

  • Information Session (10 a.m.) | Information Session (4 p.m.) 

Submit early 

Please submit events at least one to two weeks before the event date whenever possible. This allows time for review, questions and corrections before the event takes place. 

Verify publication 

After submitting an event, check the calendar to ensure it appears as expected. Do not wait until the day of the event to confirm it is posted and accurate.

Announcement Submission Tips 

Submit announcements at least 24 hours in advance 

To allow time for review, formatting corrections and follow-up questions, announcements should be submitted at least 24 hours before the desired publication date. 

Announcements submitted less than 24 hours before publication may not appear in the next Dickinson Today email. 

Enter text directly into the form 

Whenever possible, type announcement content directly into the submission form rather than copying and pasting from another source. 

Copied content can sometimes introduce hidden formatting that causes technical issues or delays publication. 

Announcement duration 

Announcements will run for a maximum of 14 consecutive days. Announcements submitted with longer durations will automatically be adjusted to end 14 days after the selected start date.

How often will my announcement appear in Dickinson Today?

Announcements will appear in Dickinson Today once during their publication period. 

Can my announcement run longer than two weeks?

No. Announcements are limited to 14 consecutive days to keep Dickinson Today timely and relevant. 

Can I resubmit an announcement that ran previously?

Yes. Previously published announcements may be resubmitted no sooner than 30 days after their previous publication date.
