ROOM SELECTION GUIDE 2008-2009

Welcome to the Room Selection process for the 2008-09 academic year!  Please read through the information in this guide, as it will answer most of your questions.  If you find yourself still having questions after reading this guide, feel free to stop by the Office of Residential Life or e-mail us at reslife@dickinson.edu

The following housing options for 08-09 can be downloaded here:

Goodyear – Co-ed apartments are allowed; apartment pricing

Factory Apartments (230/236 W. North) – Co-ed apartments are allowed; apartment pricing
(The factory Apartments will be used for Winter Break housing in 06-07. Students will be asked to sign an agreement during room selection in the spring allowing Residential Life to use their rooms over the break for winter housing.)

Denny Apartments (146, 159, 163, 165, 169 W. High) – Co-ed apartments are allowed; apartment pricing

Town Houses (373, 377, 379, 381, 383 W. Louther) – 2 are designated single gender, the other 3 can be co-ed or single gender; apartment pricing (Note: Townhouses are used for Winter Break housing.  Students will be asked to sign an agreement during room selection in the spring allowing Residential Life to use their rooms over the break for winter housing.)

Adams Hall – Basement, 4th Floor, Singles (limited); traditional pricing

Drayer Hall – 4th Floor and Singles (limited); traditional pricing

Longsdorff Hall - Substance Free Housing (mixed-class)

Morgan Hall – Co-ed Floors, Singles (limited); traditional pricing

Malcolm Hall – Floors will be designated by gender

McKenney Suites – 7 Suites are designated single gender and 3 are designated as either co-ed or single gender; traditional pricing (Note: The McKenney Suites are used for Winter Break housing.  Students sign an agreement during room selection in the spring allowing Residential Life to use their rooms over the break for winter housing.)

Davidson/Wilson Suites – 4 Suites on the1st Floor (2 can be designated as co-ed); traditional pricing
*Note: Guideline for Entering Davidson-Wilson Suite 130 for Non-Emergency Work

Due to the location of the mechanical room it is sometimes necessary for Facilities Management staff to enter Davidson-Wilson Suite 130.  While emergency or critical work cannot usually be anticipated or scheduled staff will knock and announce themselves as they enter the suite.

All other access to the mechanical room shall be preceded by written notice of no less than 24 hours.  Facilities Management staff will place a sign on the main entrance to suite 130 announcing that they will be entering the suite on a specific day at a specific time.  Such notice will allow the residents of the suite to be prepared and out of the way of Facilities Management staff.

ROOM SELECTION PROCESS

On the walls of the social hall we will have poster size listings of every building and room available.  As rooms are selected they will be crossed off the posters.

At the appointed time Residential Life Staff will begin calling numbers.  After their number has been called students will have NO MORE THAN 5 MINUTES to select a room.  Student must have their Dickinson College ID in order to make a room selection.  Residential Life staff members will be available to assist students as necessary.  Once a selection has been made, it will be entered on the Room Selection Ticket (which will be available at Room Selection and online) and crossed off the appropriate lists.  Please make sure that your ticket is taken to the computers after receiving the proper Residential Life signature.  A room selection is not official until it has been entered in the computer.

Students may pick as a group (on one number).  However, student groups may only pick a single room, suite, or apartment as a group.  That is, a group of students MAY NOT split into smaller groups and pick different spaces.  If there is not a space large enough to accommodate the entire group, those students unable to fit in to a space will have to wait until their individual numbers are called.

Residential Life WILL NOT pick a room for a student.  If a student fails to show up for Room Selection (or send a proxy) he/she will be placed as “unassigned” until room selection is completed.  At the close of room selection all “unassigned” students will be randomly assigned to remaining spaces.

NOTE: Student living in Special Interest Housing, who are registered to study abroad, who have been hired as a CA, RA, HAM or LCCs (or their roommates), or who have been granted a special housing accommodation will not receive a lottery number.

OFF-CAMPUS LIVING
The off-campus living process is completed for the 2008-2009 academic year.  If you have any questions or concerns please contact the Residential Life Office at ext. 1556.

SPECIAL INTEREST HOUSING
The Special Interest housing application process is completed for the 2008-2009 academic year.  ROSTERS for Special Interest Houses are due on April 4th.  Those students opting to live in a special-interest house will not be required to participate in the lottery process.

SPECIAL HOUSING ACCOMMODATIONS
The Special Housing Accommodation request is underway for the 2008-2009 academic year.  If you have a need for specialized housing please speak with the appropriate staff person at the Health Center, Counseling Center, or Learning Support Center.  If you have any questions about this process please contact the Residential Life Office at ext. 1556 or email Reslife@dickinson.edu

FLOOR PLANS
Floor plans will be available in the Residential Life Office.  Students are highly encouraged to view the floor plans and/or visit potentially available spaces prior to the lottery!

FREQUENTLY ASKED QUESTIONS

Am I required to live-on campus?
Dickinson College is a four-year residential liberal arts institution.  As such, you are required to live-on campus.  Seniors may apply to live off-campus on a case by case basis.  The off-campus housing application process for the 2008-2009 academic year is completed.

When will lottery numbers be posted and how are they assigned?
Lottery numbers will be posted in the Holland Union Building on Wednesday, April 9, 2008.  The numbers are assigned randomly by your anticipated degree date.  Your graduation date is determined by the information pulled from the Registrar’s Office.  The number you see posted in the HUB represents the order in which you will choose your living space for the 2008-2009 school year.  The number “1” will be called first, “2” next, and so on until all numbers have been called.  If a student is “pulled up” to a higher number that student’s original number will not be called.  NOTE: Numbers are non-transferable.  That is, no student may “give” his or her number to another student.

Can I participate in the lottery process if I have not registered for classes or if I have a hold on my student account?
Students will not be able to participate in the lottery process if you are not registered for classes or have a hold on your student account. 

If you do not see your name on the posted lottery list, please contact the Office of Residential Life immediately.  Once all holds have been settled, you will be cleared to participate in room selection.  You will not be given a number, but allowed to pick with your class.

What if I cannot attend the lottery?
Students that cannot participate in the lottery are required to select a “proxy” to represent them at room selection.  It is imperative that you inform the Office of Residential Life who your proxy is no later than Wednesday, April 2nd.

Is it possible for people to pick as a group?
Everyone can go on one number if you want.  However, you cannot pull people up a class rank.  That is, a junior cannot pull a sophomore into picking with the rest of juniors.  That junior can still pick with the sophomore, but he/she must do so on the number of the sophomore.  Within a class, students may pull people up to the highest number.  That is, a sophomore with the number 105 can pull up other sophomores with number 231, 245, etc.  No more than 8 people can pick on one number.  These eight people (or however many are choosing together) must all select one suite/room/apartment.

What do you mean by “on a number?”
We are treating each number like a list.  The number is assigned to one person, but can represent several people (up to eight).  So when we refer to people being “on a number” we are referring to everyone picking a room at the time that number is called.

What if my friend has a higher number than me and I want to live with him/her?
If you and your desired roommate(s) are in the same graduating class you should show up with your desired roommate at the time that he/she is assigned.  When your friend’s number is called you will go to the front of the Social Hall with him/her, present your ID and also sign a room contract.  After that time, your room selection is done; you do not need to show up again.

How are suites and apartments selected?
McKenney Suites – a certain number of these will be designated single gender.  The remaining suites can either be co-ed or single gender.  Co-ed bedrooms are not allowed.  If there is a group of individuals that would like to live in a suite, they pick as a group using the highest number of those in the group.  The entire suite must be filled (i.e., rooms/space may not be left vacant).

Goodyear, Denny, Townhouses or available small houses – you must fill the entire apartment or house when picking.  You may not choose one room in an apartment or house.  If there are four singles in the apartment, you must have four people to live there when you pick.  Keep in mind that you CANNOT pull students up via class rank.

Malcolm or Witwer – you must fill the entire suite.  Certain floors will be designated by gender.

Morgan – the entire space must be filled.  For instance, if a triple is chosen, which consists of a double and a single, both sides must be filled.  These are not available as co-ed spaces.

Traditional Doubles – You may not pick half of a room, you must fill the entire space.
If one of my roommates plans on studying abroad what should I do?
We are unable to hold spaces for students who will be returning in the spring semester.  You should try to find another roommate.  Some students have found a roommate for the fall semester that will be going abroad in the spring semester.  This opens a space for those students returning from abroad for the spring semester.  Whenever possible, we try to honor roommate requests of students returning from abroad.

What does it mean to be a proxy for someone?
It means that you were selected by that student to choose their housing for next semester. 

As a proxy you must keep the communication lines OPEN with your friend(s) before room selection.  You need to make sure you not only know what room your friend really wants, but also second and third preferences in case their number one choice is not available.

On the night of your friend’s room selection you should show up in your friend’s place.  When your friend’s number is called you should come to the front of the room and select a room for her/him.

Is it possible to obtain a single?
There are a VERY LIMITED number of singles available on campus.  If no singles are available when it is your turn to pick, you will either need to find a roommate(s) quickly or be placed as “unassigned”.  If you are listed as “unassigned” you will then be placed in a room as space becomes available after room selection. This does not mean you are guaranteed a single.  For instance, if John Doe is unable to get a single room, he is placed in “unassigned” until a space becomes available.  There will be a sign-up sheet for those individuals or groups looking for roommates.  This will be available in the Residential Life Office starting April 3rd.  It is your responsibility to contact individuals on the list prior to room selection and make living arrangements.

Wait List/Unassigned
One of the most difficult parts of Room Selection at any college is the wait list, also known as “unassigned.”  Students that do not attend room selection or do not have enough roommates to fill an entire space will be placed in “unassigned”. Students who choose not to attend room selection or cannot find enough roommates will not be placed on a wait list for single rooms.

*No current student that attends room selection will leave campus without a room.  This isn’t to say that you will get your first or second choice, but does mean that you will have a space before leaving for the summer.  As spaces open over the summer, we will move students into more appropriate housing.  For example, if two rising Sophomores are placed in Adams on a traditional first-year floor, we will relocate those students and notify them as spaces open over the summer.
